The approach

Every business has its own way of working, its bottlenecks and its opportunities. That is why we do not apply fixed recipes. The OPEX Method is the framework we use to structure the work, from what we find to what we measure, and which we adapt to each client's reality.

We didn't invent it from scratch: it combines proven process-improvement and change-management techniques, adapted to the size and pace of each company. Each phase below shows which ones we apply.

The phases

Five phases, with the technique behind each one.

  1. Diagnosis

We listen and audit the current state. We walk through how the business runs today to truly understand where time is lost and where errors appear. This phase is free of charge.

Techniques: interviews and audit, process mapping (as-is / to-be).

  2. Analysis and priorities

We get to the root of each problem and decide what is worth solving first, based on its impact and the effort it requires.

    Techniques: root-cause analysis, impact-effort matrix.

  3. Tailored plan

We propose a phased roadmap with scope, timeline and estimated cost in writing. The proposal is also free. You will know what we are going to do, in what order, and why.

Techniques: phased roadmap, defined scope and cost.

  4. Implementation

We build, automate and integrate in iterations. We move in short steps so you see results early, without disrupting your day-to-day.

Techniques: agile delivery in iterations, automation and integration.

  5. Measurement and continuous improvement

We measure before and after and train your team to use the system independently. From there, we improve in cycles: test, measure, adjust.

Techniques: before/after measurement, training and handover to your team.

The method, in practice

An end-to-end digitisation case. Here is the OPEX Method applied from start to finish in a small business with years of history: four connected areas, handled with the same approach.

4 h a week recovered (approx.)
40% fewer manual steps in day-to-day work
2 days of monthly invoicing, now down to a few hours
0 data loss incidents in 8 months with automatic backups

A real OPEX client case. Approximate figures, measured before and after the project.

A. Digitisation

What we found

Information spread across paper, scattered spreadsheets and the team's memory.

The approach

As-is / to-be process mapping and a digital-maturity assessment to decide what to digitise first.

What we implemented

A central system where information lives organised and accessible to whoever needs it.

The result

The team stopped losing time tracking down information: from searching several places to having it in one, with about 4 hours a week recovered.

B. Process optimisation

What we found

Tasks repeated by hand and steps duplicated between people.

The approach

Bottleneck analysis and an impact-effort matrix to prioritise what freed up the most time.

What we implemented

Automations on the repetitive steps and a clearer workflow.

The result

Shorter processes with fewer errors: around 40% fewer manual steps in day-to-day work.

C. Administrative and invoicing efficiency

What we found

Invoicing and administrative paperwork handled manually and in a scattered way.

The approach

Organising and digitising the admin workflow, in coordination with their accountant.

What we implemented

E-invoicing and a digital administrative flow, ready for current requirements.

The result

Invoicing, which used to take a couple of days a month, now gets done in a few hours and is ready for Verifactu.

D. Connectivity and IT infrastructure

What we found

An unstable connection and equipment without a reliable technical base.

The approach

An infrastructure review and the design of a stable, secure network base.

What we implemented

Reliable internet, connected equipment and backups in place.

The result

A stable connection and automatic backups: zero data loss incidents since going live.

On the fiscal and administrative side: at OPEX we digitise and organise the systems (invoicing, administration and readiness for current regulation, for example e-invoicing with tools like Quipu and Verifactu compliance in Spain) and we coordinate with the client's accountant. We do not provide regulated tax or legal advice: that is handled by their accountant or adviser.

“OPEX brought us up to date without turning the business upside down: first they understood how we work, then they digitised it step by step. They have taken a huge weight off our shoulders, and they are always there when we need them.”
